Terms of Service

These Terms of Service ("Terms") are an agreement between you and HigherEd PodCon LLC ("Higher Ed PodCon", "we", "us"). They apply to the website at higheredpodcon.com, to accounts you create with us, and to tickets you buy or receive for the Higher Ed PodCon conference (the "Event"). By using the site, creating an account or registering for the Event, you agree to these Terms and to our Privacy Policy. If you do not agree, please do not use the site or register.

If you are registering on behalf of your institution or employer, you confirm that you are authorized to accept these Terms for them and for anyone you register.

The Event

Higher Ed PodCon 2027 takes place on July 14 and 15, 2027 at the MIT Samberg Conference Center, 50 Memorial Drive, Cambridge, Massachusetts. The program, speakers, schedule and venue details published on the site are subject to change. We will make reasonable efforts to notify registered attendees of significant changes by email.

Accounts

  • You need an account to buy or claim a ticket. You can sign in with an emailed link or code, or with your Google account.
  • Provide accurate information and keep it up to date. Each person may hold one account, and each account may hold one ticket to the Event.
  • You are responsible for everything that happens under your account. Keep access to your sign-in email and Google account secure, and tell us right away at hello@higheredpodcon.com if you believe someone else has used your account.
  • Organizers may create accounts for presenters, sponsors and other participants. If an account was created for you, these Terms apply from the moment you sign in or use a ticket.
  • We may suspend or close accounts that violate these Terms or that we reasonably believe are being used fraudulently.

Tickets and payment

  • Prices. Ticket prices are in US dollars and are shown at checkout. Prices change over time (for example early-bird, regular and late pricing). The price you pay is the price in effect when you complete checkout. Promotion codes must be entered at checkout and cannot be applied afterwards. Our payment provider may offer to show prices in your local currency, in which case the conversion rate and any fee are shown before you pay.
  • Taxes and fees. Prices include any sales tax we are required to collect unless stated otherwise at checkout. Your bank or card issuer may charge foreign transaction fees that are not controlled by us.
  • Payment. Payment is processed by Stripe. By paying you agree to Stripe's terms. A ticket is issued only when payment is confirmed. We will email a receipt and invoice to the buyer.
  • Limits. You may buy up to 20 tickets in a single order. Tickets may not be resold or offered for sale above face value, and may not be used for promotions, contests or sweepstakes without our written permission.
  • Group purchases. If you buy more than one ticket, you can invite colleagues by email to claim the extra tickets. Each invited person must have, or create, their own account to claim a ticket. You confirm that you have permission to share each invitee's email address with us. The buyer remains responsible for payment and can re-invite or revoke any ticket that has not yet been claimed.
  • Complimentary and pay-later registrations. Organizers may issue complimentary tickets (for example to speakers and volunteers) or create registrations that are paid later. Complimentary tickets have no cash value and may not be exchanged for a refund. A pay-later registration becomes a confirmed ticket only when payment is received, and we may cancel it if payment is not made by the deadline we communicate.

All sales are final

Ticket purchases are non-refundable. We do not offer refunds if you are unable to attend for any reason, including illness, travel disruption, visa denial, scheduling conflicts or changes to the program or speaker line-up.

You can transfer your registration to someone else. If you cannot attend, email hello@higheredpodcon.com with the name and email address of the person who will attend in your place. Transfers are free, must be requested before the Event begins, and the new attendee must create an account and agree to these Terms. A buyer of multiple tickets can re-assign any unclaimed ticket directly from their account.

If we cancel or move the Event. If we cancel the Event, we will refund the ticket price you paid. If we postpone the Event or move it to a different venue, your ticket will be valid for the rescheduled Event, and you may request a refund of the ticket price within 30 days of our announcement if you cannot attend the new date or location. If we are required to hold the Event online, your ticket converts to access to the online Event, and we may issue a partial refund reflecting any price difference. In all cases our responsibility is limited to the ticket price paid. We are not responsible for travel, accommodation or other costs you incur in connection with the Event, and we recommend refundable bookings and travel insurance.

Attending the Event

  • Admission. Your ticket admits one named person. We may ask for photo identification at check-in. Badges must be worn at all times and may not be shared.
  • Conduct. Higher Ed PodCon is a professional gathering. We expect everyone to treat other attendees, speakers, volunteers, staff and venue personnel with respect. Harassment, discrimination, intimidation, disruptive behaviour and violating venue rules are not permitted. We may refuse admission to, or remove from the Event, anyone who violates these expectations, without a refund.
  • Photography and recording. The Event will be photographed and recorded. By attending you agree that Higher Ed PodCon may use photos, audio and video that include your image, likeness or voice in materials that promote the Event and future Higher Ed PodCon events, without compensation. If you have concerns, speak with a member of the team at the Event.
  • Health and safety. You agree to follow any health, safety and security requirements communicated by us or the venue.
  • Your responsibility. You attend at your own risk. To the extent permitted by law, Higher Ed PodCon is not responsible for loss, damage or injury that occurs at the Event, except where caused by our negligence or wilful misconduct.

Content you provide

You may add a display name, profile photo, organizations and podcast information to your account, which can appear on the conference website, on your shareable attendee page and in Event materials.

  • You confirm that you have the right to share this content and that it does not infringe anyone else's rights, is not misleading and is appropriate for a professional setting.
  • You grant Higher Ed PodCon a non-exclusive, royalty-free, worldwide licence to use, display and reproduce this content in connection with the Event and the site, including on attendee pages and social media previews. This licence ends when you remove the content or we delete your account, except for materials already printed or published, and except as needed for our records.
  • We may remove content that violates these Terms.

Our content and your use of the site

  • The site, its design, text, logos, images and software are owned by Higher Ed PodCon or our licensors and are protected by copyright and trademark law. You may view and share pages of the site for personal and professional, non-commercial purposes. Speaker names and institutional logos belong to their owners.
  • You agree not to: access the site in ways that bypass its security or interfere with its operation; scrape or harvest attendee information; impersonate anyone; use another person's account; or use the site for anything unlawful.
  • The site links to and embeds content from third-party services such as Stripe, Google, Mailchimp, LinkedIn and Apple Podcasts. Those services have their own terms and privacy policies, and we are not responsible for them.

Disclaimers

The site and the Event are provided "as is". To the fullest extent permitted by law, we disclaim all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose and non-infringement. We do not guarantee that the site will be available without interruption or error, that any particular speaker or session will take place, or that attending the Event will produce any particular result.

Limitation of liability

To the fullest extent permitted by law, HigherEd PodCon LLC, its members, organizers, volunteers and partners will not be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, lost data or travel and accommodation costs, arising out of or relating to the site, your account or the Event. Our total liability for any claim relating to these Terms, the site or the Event will not exceed the amount you paid us for your ticket, or one hundred US dollars if you paid nothing. Some jurisdictions do not allow these limitations, so some of them may not apply to you.

Indemnity

You agree to indemnify and hold harmless HigherEd PodCon LLC and its organizers and volunteers from claims, losses and expenses, including reasonable legal fees, that arise from your violation of these Terms, your content, or your conduct at the Event.

Governing law and disputes

These Terms are governed by the laws of the State of Delaware, without regard to its conflict-of-law rules. Any dispute that cannot be resolved informally will be brought in the state or federal courts located in Delaware, and you consent to their jurisdiction. Before filing a claim, please contact us at hello@higheredpodcon.com so we can try to resolve the issue.

Changes to these Terms

We may update these Terms from time to time. The date at the top shows when they were last changed. If we make significant changes that affect existing ticket holders, we will email registered users. Continuing to use the site or attend the Event after a change takes effect means you accept the updated Terms.

General

If any part of these Terms is found unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver of it. You may not assign these Terms or your ticket except through the transfer process described above. These Terms, together with the Privacy Policy, are the entire agreement between you and Higher Ed PodCon about the site and the Event.
